Question:
How do I print a long column of data on to only one page of A4 paper?

I am using MS Excel 2003
I have 80 rows/cells of TEXT data in 1 column integrated in to a spreadsheet.
I wish to print this column of text only so that it is spread out evenly over the A4 page and not multiple pages with copious amounts of blank space left over.
Ideally I would like to present this data in 3 separate columns on the page.
For example 1x30, 1x30, and 1x20 (column x rows).
I have tried experimenting with page setup options and page breaks but alas this does not have the desired affect
Any suggestions or advice on how to do this please?

The easiest way to do this without worrying about page scaling is to use the scale to fit options. Select Print Preview. You will probably see many pages of data. At the top of the window, select Page Set Up. In the pop up window, click on the radio button for Fit to and select 1 page wide by 1 page tall. This will automatically scale your spreadsheet to fit all onto one page. Click OK to see the results.



If you find that you have a lot of extra blank spaces, then go back into the Page Setup in print preview and click on the Sheet tab. In the Print Area box, click the liggle spreadsheet looking button at the end of the line. This will take you back to your worksheet. Scroll up to cell A1 and then down to the bottom right of the data you want to print, hold down the shift key and click on that last cell. You should have just selected all of the cells you want to print. Click the little icon again to take you back to Page Setup and click OK to preview again. You should now have only the contents of your data field or desired print area showing on one printable page.



Make sure your paper size is set to print to A4 and print.



Nothing else to do and you don't have to play with page scaling, font sizes or row/column sizes.

Add a new sheet. In A1 enter =IF(Sheet1!$A1="", "", Sheet1!$A1)

Copy to C1 then change cell reference to $A31. Copy this cell to E1 then change ref to $A61'

Select all 3 cells and copy down to row 30

Columns B&D are used as dividers for visual clarity.

Print out Sheet 2

Change the size of the page by reducing the percentage in page setup.
